People and credentials

Start with the people and doors

An office entrance, a staff-only stockroom and a receiving door have different jobs. List the doors you want controlled and the people who need each one. Include opening hours, deliveries, cleaners and anyone who needs temporary access. Use that plan to compare the reader and platform options.

512 Locksmith plans access-control installation and service with Austin businesses, starting with the locks, door hardware and access rules. A reader cannot compensate for a door that drags or never latches. The project starts with the opening and the access rules, then considers the equipment needed to make them work together.

Readers, mobile credentials and management platforms have different jobs

A HID Signo 40 is a reader example for a wall-switch mounting space. Selecting a reader does not by itself provide the controller, compatible credentials or management platform. The system needs a supported path from the credential presented at the door to the decision that releases the hardware.

Brivo access control includes cloud administration and mobile-access options. SALTO JustIN Mobile illustrates another platform-specific phone-key workflow, with keys issued through its supported system. These examples help frame a comparison; they do not mean an existing reader will accept any app or that every building needs cloud management.

For mobile credentials, check the supported phone, reader and platform together, along with credential fees and the process for replacing a lost phone. If a proposal includes a biometric reader, review enrollment, alternatives for users and data handling separately. We assess these options within the access-control project rather than treating a new reader as an automatic system upgrade.

Cards, codes and mobile credentials

A shared PIN is simple to distribute but can be difficult to withdraw from one person. Individual cards or phone credentials can support more deliberate access management when the system allows it. Decide who issues credentials, who removes them and how a lost device will be handled.

Mobile credentials depend on compatible readers, a supported platform and the user's device. HID's mobile-access information describes app and wallet-based options within supported systems. It does not mean an existing fob reader can accept any phone. Compare the actual reader and platform requirements before making a purchase or promising employees a wallet credential.

A revoked credential does not retire a missing key

Match the response to the thing that is missing. Removing a badge, phone credential or PIN changes electronic access only within the installed system's supported configuration and update process. A physical key may still operate a mechanical override cylinder, even after the credential is removed.

Access changes affect different parts of a door
ChangeWhat it addressesWhat still needs checking
Mechanical rekeyChanges the keying of selected compatible cylinders.Credentials, other cylinders and door hardware remain separate.
Credential or PIN removalWithdraws electronic permission through the supported administration process.Sync behavior and any physical override key need their own plan.
Core or system changeMay support a planned site turnover where the installed format allows it.Housing, authority, key hierarchy and administrator rights require review.

For a lost physical key, begin with commercial lock rekeying. Property management rekeying helps scope recurring turnover. An existing removable-core system may call for an interchangeable-core assessment.

Three different electronic paths

  • Local code change: The Alarm Lock Trilogy DL2700 is a standalone keypad example. A local PIN change does not imply remote administration or alter a mechanical override key.
  • Managed office credentials: The Schlage NDE supports different offline, periodic Wi-Fi and networked arrangements. Permission changes and audit timing depend on the configured mode and management system.
  • Managed intelligent keys: Medeco XT uses electronic keys, cylinders and software for authorized schedules and records. It is a separate system decision, not a rekey of an ordinary cylinder.

These are manufacturer examples for comparing approaches. Inspect the opening, existing hardware and administration rights before selecting equipment or defining the work.

Ownership and openings

Cloud management needs an owner

Cloud administration can let an authorized manager update permissions without visiting each door. It can also bring subscription, account and support requirements. Confirm which organization owns the account, how administrators are added and how control is transferred when a manager or service provider changes.

Remote management and door operation are separate questions. Ask which functions continue if internet access fails and how the controller handles existing permissions. Power loss is another scenario with its own hardware behavior. The system design should explain those conditions rather than relying on the broad claim that everything works offline.

Look at the complete opening

A reader, controller, power supply and locking device have to work with the door and its required exit function. An electric strike, electrified lockset and magnetic lock are different hardware choices. The right one depends on the opening, approved use and existing preparation.

The inspection should also identify closer behavior, latch alignment, door position monitoring and any required coordination with fire or building systems. If the door does not close reliably, resolve that before treating an electronic lock as the fix. A useful design includes what occupants need to do to leave, not only how staff enter.

Austin approvals belong in the project scope

Austin Fire Department's electrical-locking FAQ describes building-permit and review requirements for electrical door-lock installations. Identify the relevant authority and approval process before installation, especially when access control is added to an existing tenant-improvement project.

The proposal should say who handles the drawings, required coordination and inspection steps. A product's listing or an installer's familiarity with it does not remove the need to assess the actual opening. Surrounding municipalities may have their own process, so the project address matters.

Takeover and scope

Taking over an existing system

Gather the platform name, reader and controller models, administrator access and any available plans. Describe what works and what does not. A failed reader, expired credential, network change and lost administrator account are different problems, and each calls for different information.

Do not factory-reset equipment simply because the current password is unknown. A reset can remove a working configuration or create more downtime. The authorized owner should first establish the supported recovery or transfer process. If access to proprietary software, credentials or replacement parts is restricted, that affects whether a repair or replacement is practical.

Event records need context

A system may record a credential presentation, granted access or a door event, depending on the equipment and settings. Those records can help an authorized manager investigate a problem, but they are not automatic proof that one named person entered alone. Shared credentials and someone following another person through a door change what a log can establish.

Decide who can review records and how long the business needs them. Coordinate any video integration with the appropriate owner and privacy policy. If a biometric option is being considered, assess enrollment, consent and data-handling requirements with the business's advisers before selecting it merely as a convenient feature.

Quote the project and the ongoing work

The quote should identify doors, hardware, cabling, power, configuration, credentials, training and any subscriptions. A single-door retrofit is a different scope from a multi-door system with existing-platform integration. Building access, cable routes and work windows can affect labor as much as the number of readers.

At handoff, an authorized administrator should demonstrate adding a user, removing access and finding a relevant event. Test normal entry and exit, the agreed door behavior and the documented outage scenarios. Keep the equipment list, account ownership and support contacts with the business.

Common questions

Answers before you call.

Can employees use their phones instead of fobs?

A compatible mobile-credential platform may support that, but readers, licensing and device requirements need checking. App credentials and wallet credentials are not universally interchangeable. Review the actual system and employee devices before planning the changeover.

Will the door keep working if the internet fails?

The controller, configuration and power arrangement determine what remains available. Remote administration may stop while some local permissions continue, but that must be verified for the proposed system. Include the expected behavior in the handoff.

Can we keep our existing locks and readers?

Some projects can reuse suitable components. Compatibility, condition, software access and approval requirements determine what stays. An inventory and supported platform information are the starting points for a takeover assessment.

Does installing a card reader make the entrance compliant?

No single component establishes compliance for the opening. Exit function, hardware, approvals and inspection requirements need to be considered together. The project scope should identify who coordinates those requirements for your property.
